Overview

We are searching for a reliable, self-starter to be our new Administrative Assistant.  You'll work day to day with our office lead as well as our other staff providing administrative support for various functions. You'll have an impact on our administrative tasks from answering the phone, to filing, all the way through client document preparation.

 

Administrative Assistant Responsibilities:

 

  • Greeting visitors as they enter our office and assisting them as necessary;
  • Screening phone calls and routing callers to the appropriate party;
  • Maintaining professional communication via phone, e-mail, and mail;
  • Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, ordering food for meetings, and ordering supplies;
  • Planning office social events and confirming all event details, including the number of guests, venue, food, and budget with the office lead;
  • Monitoring guest confirmations and cancellations, and answering any queries;
  • Developing timeframes, checklists, and delegating tasks to the relevant parties.

Qualifications

  • High School diploma - preferred B.A./B.S. in English, Marketing, Business or related degree;
  • 2+ years experience in an office environment;
  • Proficiency with Microsoft Office (Word, Excel, and Outlook);
  • Ability to speak and write professionally;
  • Desire to be proactive and create a positive experience for others;
  • Excellent computer skills, especially typing;
  • Excellent time management, attention to detail, and communication skills;
  • Superb networking and customer service skills;
  • Strong multitasking abilities and the ability to function under pressure;
  • A valid driver’s license.
