Overview

Our Document Control Specialist role provides you the opportunity to design state-of-the-art manufacturing, oil & gas, water treatment and power facilities. We are seeking a self-motivated individual with strong communication skills and a passion to apply professional experience and knowledge in a team environment on technically challenging and professionally rewarding projects. You are part of a team working on projects that make our clients successful today, while helping them develop and capitalize on emerging technologies. You should be a detail-oriented professional who understands the importance of meeting commitments while remaining flexible in a fast-paced environment.  Candidates must have proficiency using the Microsoft Office Suite.

 

Responsibilities:

  • Store, manage and track company documents
  • Scan, image, print, and organize documents adhering to company’s document lifecycle procedures
  • Archive inactive records in accordance with records retention schedule
  • Retrieve and distribute documents
  • Process requests for information from clients/vendors and maintain tracking log
  • Process submittals from clients and vendors and maintain tracking log
  • Update and manage document templates for assigned projects
  • Control and edit specifications, and other related items for appropriate distribution
  • Collect and maintain files of the latest revision level necessary to define configuration and control field processes
  • Project management assistance
  • Control all aspects of project documentation on multiple simultaneous projects, utilizing various control methods/systems
  • Prepare, operate and update Document Control Procedures in line with the company’s document management system
  • Produce and maintain document progress/deliverable reports for the Project Managers and Discipline Leads
  • Ensure all documentation provided is as per client quality formatting requirements. Formatting may include correcting templates, fonts and style, pagination and numbering and other activities
  • Create document control and correspondence folders for individual projects
  • Receive, catalogue and store hard copies and electronic copies of all technical drawings, reports and related information in an orderly manner, in line with policies and procedures
  • Allocates and controls the document numbering system for the project work
  • Ensure that all electronic and hard copy filing is accurate and is easily retrievable
  • Respond in a timely manner to requests to retrieve information, information searches and general requests for support from project/department personnel
  • Accurately update information as required
  • Prepare documents for delivery to clients and vendors as required by the project
  • Ad hoc duties as required to assist the project team

Qualifications

  • High School Diploma or Trade School Diploma. Associates or Bachelors degree is a plus
  • Minimum 2  years’ experience or related document control work
  • Detail oriented with strong written and verbal skill set
  • Excellent listening skills
  • Excellent time management skills
  • Ability to organize and prioritize work and delegate work to others when applicable
  • Ability to work as part of a design team
  • Proficiency using Microsoft Office Suite
  • Knowledgeable in the use of FTP, Prolog and SharePoint sites
  • Knowledge of computerized design tools such as Revit, Navisworks, and AutoCAD is a plus
